MFolks Industries Private Limited is engaged in the manufacturing, wholesale and trading of aluminium-based products such as aluminium wire, aluminium rods, aluminium coils, aluminium ingots, MIG welding wires, thermal spray wires and related metal products. The company serves B2B customers and operates in a business environment where fast lead response, pricing control, dealer management, depot-wise inventory visibility and accurate accounting are critical for growth.

To support its growing operations, MFolks required a centralized and automated system to manage its sales funnel, lead lifecycle, dealer network, pricing approvals, depot-level stock, invoicing, GST compliance and management reporting.

A3CA Global implemented a connected Zoho ecosystem covering Zoho CRM, Zoho Books and Zoho Inventory to streamline end-to-end sales, finance and inventory operations.

Business Challenges

Before the implementation, MFolks required better control and visibility across its B2B sales and finance operations. The business needed a structured platform where leads from multiple sources, pricing approvals, dealer information, inventory movement and accounting transactions could be managed under one integrated system.

Zoho CRM Implementation for Lead & Sales Funnel Management

Zoho CRM was implemented as the central system for managing leads, sales pipelines, customer interactions, dealer records, quotations and sales performance.

Lead Lifecycle Automation & Follow-Up Governance

A structured lead lifecycle was configured in Zoho CRM to ensure that no lead is missed.

Lead Flow Implemented

Automated reminders were configured at defined intervals, including first follow-up, second follow-up and final reminder before marking the lead as cold. This created a strong SLA-driven sales process and improved team accountability.

Pricing & Discount Approval Workflow

MFolks required strict control over pricing and discounts because sales executives were not allowed to finalize pricing independently.

A custom price history mechanism was also configured using a multi-line field and Deluge script to update price data from timeline history in Zoho CRM.

A custom Dealer Management Module was implemented to manage approved dealers with proper compliance, credit and dispatch controls.

The dealer onboarding flow included admin review, director approval and dealer activation before the dealer could be used in sales and invoicing.

Implementation Approach

Phase 01.

Business Requirement Study

A3CA reviewed MFolks’ existing sales, finance, dealer, vendor, depot and approval processes. The objective was to design a practical system that could support lead management, pricing control, inventory tracking and accounting.

Phase 02.

Zoho CRM Configuration

Zoho CRM was configured for leads, dealers, products, quotes, activities, approvals, sales pipelines, duplicate checks, assignment rules, email sync and dashboards.

Phase 03.

Zoho Books & Inventory Setup

Zoho Books and Zoho Inventory were configured for three GST entities, depot-wise stock, branches, templates, banks, opening balances, inventory workflows and Tally-compatible exports.

Phase 04.

Custom Workflows & Automations

A3CA configured pricing approvals, discount restrictions, lead reminders, lead nurturing workflows, dealer approvals, vendor approvals, incentive automation and escalation alerts.

Phase 05.

Data Migration

Leads, customers, products and notes were migrated from Google Sheets after validation, duplicate cleanup and master data restructuring.

Phase 06.

UAT, Training & Go-Live

User testing, validation, training and go-live support were provided. The proposal defined the estimated project duration as 6–7 weeks, with Zoho CRM setup, Zoho Books setup, testing, UAT and training.
